1. Collection of Student Personal Information

Student personal information is collected under the authority of section 65(a) of the PSLA and section 4(c) of POPA, which authorizes U91̽»¨ to collect personal information directly related to and necessary for its operating programs or activities. This includes for the following purposes:

1. for administering U91̽»¨â€™s academic undergraduate, graduate, post-graduate, and continuing education programs in accordance with the U91̽»¨  or , as applicable, including for recruitment, admissions, registration, scheduling, managing classroom settings, academic evaluation and progression, graduation and convocation, and managing student tuition, fees, financial assistance, student loans, awards, grants, scholarships and bursaries, or overseeing student conduct and discipline under U91̽»¨'s Code of Conduct, Student Academic Misconduct Policy or Student Non-Academic Misconduct Policy;
2. for administering U91̽»¨â€™s student programs and services, including student health and wellness services, student academic and career development services, student accessibility services, student ombuds services, student sexual violence support, international student support, athletic, fitness, safety and recreational programs and services, and administering or facilitating the operation of student clubs, societies, and associations, including the U91̽»¨ Students’ Union and Graduate Students’ Association; 
3. for administering U91̽»¨â€™s central and ancillary programs and services, including information technology and computing support services, libraries and cultural resources, print and copy services, campus parking and transportation services, operating the U-Pass program with the City of 91̽»¨, U91̽»¨ accommodations and events, residence services, food services, and for operating the U91̽»¨ Unicard program; 
4. for ensuring the health, safety, and security of all U91̽»¨ students, staff and community members on campus, including to monitor and detect suspicious or criminal activity (through the use of Closed Circuit Television Cameras or other means) and to respond in a timely and effective manner, or for the purpose of ensuring a healthy, safe and respectful working, learning and living environment, in accordance with Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy;
5. for administering U91̽»¨â€™s alumni, communications and community engagement programs, including for contacting individuals regarding U91̽»¨ events, career guidance, educational opportunities, volunteer opportunities, networking events, award programs, social activities, surveys, and other alumni-related programs and services using U91̽»¨â€™s communications and marketing platform;
6. for administering U91̽»¨â€™s advancement and development programs, including for the purpose of charitable and fund-raising activities using U91̽»¨â€™s donor engagement and gift management platform; 
7. for administering U91̽»¨â€™s research program, including for the purpose of complying with funding and reporting requirements made by external regulatory, funding, or granting agencies, for the purposes of conducting research security due diligence review and assessment, and for audit and verification purposes;
8. for administering U91̽»¨â€™s legislative compliance programs, including for the purpose of ensuring compliance with regulatory obligations relating to international sanctions, export controls, and controlled goods, and for audit and verification purposes;
9. for administering U91̽»¨â€™s equity, diversity, inclusion and accessibility programs supported under the Alberta Human Rights Act, including helping to understand the demographic composition of U91̽»¨â€™s student body and campus community, to identify and ameliorate any inequities that may impede access to equitable pathways and success, to measure progress towards building an equitable and inclusive campus, support in the development and review of targeted programs and initiatives designed to ameliorate inequities, to support evidence-based decision making and people practices, to identify patterns and trends in enrolment, recruitment, retention, or advancement, to address barriers that may impede an individual's academic, scholarly or career success on campus, and to inform U91̽»¨ policies, practices, programs, and strategies; or
10. for the purpose of institutional analysis, strategic planning and evaluating the success or effectiveness of U91̽»¨ programs or activities, and for program development, quality assurance and quality improvement purposes.

Student personal information is also being collected under the authority of section 4(a) of POPA, which authorizes U91̽»¨ to collect personal information under federal or provincial law. This may include under the authority of the following statutes or regulations:

11. the Income Tax Act (Canada) and Income Tax Regulation;
12. the Statistics Act (Canada); or
13. any other enactment of Alberta or Canada authorizing the collection of personal information.

2. Use and Disclosure of Student Personal Information

U91̽»¨ will only use or disclose your personal information:

1. with your express consent in accordance with section 12(1)(b) or 13(1)(c) of POPA;
2. for the purpose for which it was collected, as outlined above, or for a use consistent with that purpose in accordance with section 12(1)(a) or 13(1)(b) of POPA; or 
3. as otherwise permitted under POPA.

Examples of common forms of use or disclosure consistent with the purposes outlined above, or as otherwise permitted under POPA, may include:

4. use or disclosure of student names, dates of registration, faculty or program of registration, degree(s)/diplomas(s) awarded, convocation dates or attendance at or participation in public events of activities related to U91̽»¨ in accordance with U91̽»¨â€™s Privacy Policy;
5. use or disclosure of student names, phone numbers and U91̽»¨ email addresses for the purposes of contacting students regarding U91̽»¨ programs and activities consistent with the purposes outlined above and in accordance with Canadian anti-spam legislation (CASL);
6. use or disclosure of student names and U91̽»¨ email addresses to other members of the same course or program for the purpose of course activities, including but not limited to attendance taking, topic assignments, group work organization, classroom participation, facilitating course-based discussions, and coordinating tutorials;
7. use or disclosure of student personal information to administer programs or activities with third-party contractors or agents responsible for the provision of certain U91̽»¨ programs or services, such as the City of 91̽»¨ to administer the U-Pass program, and for the purpose of providing information technology and computing support services and access to learning management systems, such as Desire2Learn (D2L);
8. use or disclosure of student personal information for accreditation purposes or to administer academic programs or activities with other educational institutions or affiliates, including but not limited to conjoint credential programs, practicum placements, clinical placements or rotations, exchanges or other academic or work-integrated learning programs or activities; 
9. disclosure of student personal information to third parties for funding or audit purposes, such as award donors, government funding or granting agencies, other governmental, educational or financial institutions for student enrollment confirmation and verification, student loan administration companies for processing loan documents, and collection agencies for handling outstanding accounts;
10. disclosure of student personal information to student clubs, societies or associations, including the U91̽»¨ Students’ Union and Graduate Students’ Association, under information sharing agreements for the purpose of administering their programs and activities, including participation in membership and elections, administration, student benefit plans, and other related activities;
11. use or disclosure of student personal information to ensure the health, safety, and security of students, staff and other community members on campus, in accordance Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy, or for disciplinary purposes under U91̽»¨'s Code of Conduct, Student Academic Misconduct Policy or Student Non-Academic Misconduct Policy;
12. disclosure of student personal information as required by law or pursuant to a court order, summons, or subpoena, including to the Ministry of Advanced Education as may be required under the PSLA or other statute or regulation, to Statistics Canada as may be required under the Statistics Act (Canada) or regulations, or as may be required by a professional licensing and certification body and otherwise permitted under POPA; or
13. disclosure of student personal information to peer institutions as part of an authorized data exchange for sector-wide benchmarking or to external third-party survey agencies (e.g., the National Survey of Student Engagement) for the purpose of conducting surveys related to a U91̽»¨ operating program or activity, for the purpose of institutional analysis and evaluating the success or effectiveness of any U91̽»¨ program or activity, and for program development, quality assurance and quality improvement purposes. 

1. Collection of Staff Personal Information

Faculty and staff personal information, including all those who have an employment relationship with U91̽»¨ under a collective agreement or otherwise, is collected under the authority of section 4(c) of POPA, which authorizes U91̽»¨ to collect personal information directly related to and necessary for its operating programs or activities. This includes for the following purposes:

1. for administering the employment relationship and managing personnel in accordance with the applicable terms and conditions of employment of individual faculty or staff and any applicable collective agreement(s), including for U91̽»¨ human resources programs and services such as hiring, payroll, professional development, talent management, total rewards, staff wellness, administering employee reviews, performance management, discipline, facilitating employee benefits programs, and for the purposes of complying with U91̽»¨ policies and procedures applicable to faculty or staff;
2. for administering U91̽»¨â€™s central and ancillary programs and services, including information technology and computing support services, athletic, fitness, safety and recreational programs and services, libraries and cultural resources, print and copy services, campus parking and transportation services, U91̽»¨ accommodations and events, residence services, food services, and for operating the Unicard program; 
3. for ensuring the health, safety, and security of all U91̽»¨ students, staff and community members on campus, including to monitor and detect suspicious or criminal activity (through the use of Closed Circuit Television Cameras or other means) and to respond in a timely and effective manner, or for the purpose of ensuring a healthy, safe and respectful working, learning and living environment, in accordance with Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy;
4. for administering U91̽»¨â€™s alumni, communications and community engagement programs, including for contacting individuals regarding U91̽»¨ events, career guidance, educational opportunities, volunteer opportunities, networking events, award programs, social activities, surveys, and other staff or alumni-related programs and services using U91̽»¨â€™s central communications and marketing platform;
5. for administering U91̽»¨â€™s advancement and development programs, including for the purpose of charitable and fund-raising activities using U91̽»¨â€™s central donor engagement and gift management platform; 
6. for administering U91̽»¨â€™s research program, including for the purpose of complying with funding and reporting requirements made by external regulatory, funding, or granting agencies, administering postdoctoral scholars, graduate students or other research funded employees of U91̽»¨, for the purposes of conducting research security due diligence review and assessment, and for audit and verification purposes;
7. for administering U91̽»¨â€™s legislative compliance programs, including for the purpose of ensuring compliance with regulatory obligations relating to international sanctions, export controls, and controlled goods, and for audit and verification purposes;
8. for administering U91̽»¨â€™s equity, diversity, inclusion and accessibility programs supported under the Alberta Human Rights Act, including helping to understand the demographic composition of U91̽»¨â€™s staff and campus community, to identify and ameliorate any inequities that may impede access to equitable pathways and success, to measure progress towards building an equitable and inclusive campus, support in the development and review of targeted programs and initiatives designed to ameliorate inequities, to support evidence-based decision making and people practices, to identify patterns and trends in enrolment, recruitment, retention, or advancement, to address barriers that may impede an individual's academic, scholarly or career success on campus, and to inform U91̽»¨ policies, practices, programs, and strategies; or
9. for the purpose of institutional analysis, strategic planning and evaluating the success or effectiveness of U91̽»¨ programs or activities, and for program development, quality assurance and quality improvement purposes.

Faculty and staff personal information is also being collected under the authority of section 4(a) of POPA, which authorizes U91̽»¨ to collect personal information under federal or provincial law. This may include under the authority of the following statutes or regulations:

10. the Income Tax Act (Canada) and Income Tax Regulation;
11. the Statistics Act (Canada); or
12. any other enactment of Alberta or Canada authorizing the collection of personal information.

2. Use and Disclosure of Faculty and Staff Personal Information

U91̽»¨ will only use or disclose your personal information:

4. use or disclosure of faculty or staff names and business contact information in the ordinary course for the purpose of activities relating to their employment in accordance with U91̽»¨â€™s Privacy Policy;
5. use or disclosure of faculty or staff names, phone numbers and U91̽»¨ email addresses for the purposes of contacting faculty or staff regarding U91̽»¨ programs and activities consistent with the purposes outlined above and in accordance with Canadian anti-spam legislation (CASL);
6. use or disclosure of faculty or staff personal information to administer activities with third-party contractors or agents responsible for the provision of certain U91̽»¨ programs or services, including providing information technology services, technology support services, access to the enterprise information systems, access to ancillary services on campus, or to administer academic or continuing education programs or activities;
7. disclosure of faculty or staff personal information to third parties for funding or audit purposes, such as award donors, government funding or granting agencies, for the purposes of complying with research security due diligence review and assessment, ensuring compliance with regulatory obligations relating to sanctions, export controls, and controlled goods, and for audit and verification purposes; 
8. use or disclosure of faculty or staff personal information to ensure the health, safety, and security of students, staff and other community members on campus, in accordance Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy;
9. use or disclosure of faculty or staff personal information for workplace investigations, including pursuant to the Research Integrity Policy, the Procedure for Protected Disclosure, Harassment, Violence and Discrimination Policy or Sexual and Gender-Based Violence Policy as applicable, or for compliance with U91̽»¨ policy or disciplinary purposes under U91̽»¨'s Code of Conduct or applicable collective agreement;
10. disclosure of faculty or staff personal information as required by law or pursuant to a court order, summons, or subpoena, including to the Ministry of Advanced Education as may be required under the PSLA or other statute or regulation, to Statistics Canada as may be required under the Statistics Act (Canada) or regulations, or as may be required by a professional licensing and certification body and otherwise permitted under POPA; or
11. disclosure of faculty or staff personal information to peer institutions as part of an authorized data exchange for sector-wide benchmarking or to external third-party survey agencies (e.g., the National Survey of Student Engagement) for the purpose of conducting surveys related to a U91̽»¨ operating program or activity, for the purpose of institutional analysis and evaluating the success or effectiveness of any U91̽»¨ program or activity, and for program development, quality assurance and quality improvement purposes. 

1. Collection of Community Member Personal Information

The personal information of visitors, donors, customers, volunteers or other community members that interact with U91̽»¨ (non-staff or student) is collected under the authority of section 4(c) of POPA, which authorizes U91̽»¨ to collect personal information directly related to and necessary for its operating programs or activities. This includes for the following purposes: 

1. for administering U91̽»¨â€™s volunteer, visitor, customer and mentorship programs and services, including for tracking and managing registration, assignment and scheduling, ensuring completion of any required waivers and occupational health and safety training or orientation, for performing role-specific hazard assessment and for managing U91̽»¨â€™s volunteer application and registration system;
2. for administering U91̽»¨â€™s central and ancillary programs and services, including information technology and computing support services, athletic, fitness, safety and recreational programs and services, libraries and cultural resources, print and copy services, campus parking and transportation services, U91̽»¨ accommodations and events, residence services, food services, and for operating the U91̽»¨ Book Store and for obtaining a guest card under the Unicard program; 
3. for ensuring the health, safety, and security of all U91̽»¨ students, staff and community members on campus, including to monitor and detect suspicious or criminal activity (through the use of Closed Circuit Television Cameras or other means) and to respond in a timely and effective manner, or for the purpose of ensuring a healthy, safe and respectful working, learning and living environment, in accordance with Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy;
4. for administering U91̽»¨â€™s alumni, communications and community engagement programs, including for contacting individuals regarding U91̽»¨ events, career guidance, educational opportunities, volunteer opportunities, networking events, award programs, social activities, surveys, and other staff or alumni-related programs and services using U91̽»¨â€™s central communications and marketing platform to manage individual subscriptions;
5. for administering U91̽»¨â€™s advancement and development programs, including for the purpose of charitable and fund-raising activities using U91̽»¨â€™s central donor engagement and gift management platform; 
6. for administering U91̽»¨â€™s research program, including for the purpose of complying with funding and reporting requirements made by external regulatory, funding, or granting agencies, for the purposes of conducting research security due diligence review and assessment, and for audit and verification purposes;
7. for administering U91̽»¨â€™s legislative compliance programs, including for the purpose of ensuring compliance with regulatory obligations relating to international sanctions, export controls, and controlled goods, and for audit and verification purposes;
8. for administering U91̽»¨â€™s equity, diversity, inclusion and accessibility programs supported under the Alberta Human Rights Act, including helping to understand the demographic composition of U91̽»¨â€™s campus community, to identify and ameliorate any inequities that may impede access to equitable pathways and success, to measure progress towards building an equitable and inclusive campus, support in the development and review of targeted programs and initiatives designed to ameliorate inequities, to support evidence-based decision making and people practices, to identify patterns and trends in enrolment, recruitment, retention, or advancement, to address barriers that may impede an individual's academic, scholarly or career success on campus, and to inform U91̽»¨ policies, practices, programs, and strategies; or
9. for the purpose of institutional analysis, strategic planning and evaluating the success or effectiveness of U91̽»¨ programs or activities, and for program development, quality assurance and quality improvement purposes.

The personal information of U91̽»¨ community members is also being collected under the authority of section 4(a) of POPA, which authorizes U91̽»¨ to collect personal information under federal or provincial law. This may include under the authority of the following statutes or regulations:

10. the Income Tax Act (Canada) and Income Tax Regulation;
11. the Statistics Act (Canada); or
12. any other enactment of Alberta or Canada authorizing the collection of personal information.

2. Use and Disclosure of Community Member Personal Information

U91̽»¨ will only use or disclose your personal information:

2. for the purpose for which it was collected, as outlined above, or for a use consistent with that purpose in accordance with section 12(1)(a) or 13(1)(b) of POPA; or

Examples of common forms of use or disclosure consistent with the purposes outlined above, or as otherwise permitted under POPA, may include:

4. use or disclosure of names and business contact information in the ordinary course for the purpose of providing goods and services to the public in accordance with U91̽»¨â€™s Privacy Policy;
5. use or disclosure of volunteer personal information to administer volunteer programs and services, including through the volunteer registration and management program and related third-party platform;
6. use or disclosure of visitor information where individuals are accessing certain facilities or secure areas of campus, including for the purpose of issuing a U91̽»¨ Unicard or monitoring access to facilities;
7. U91̽»¨ email addresses for the purposes of contacting individuals regarding U91̽»¨ programs and activities consistent with the purposes outlined above and in accordance with Canadian anti-spam legislation (CASL) using U91̽»¨â€™s central communications and marketing platform to manage individual subscriptions;
8. use or disclosure of personal information to administer activities with third-party contractors or agents responsible for the provision of certain U91̽»¨ programs or services, including providing information technology services, technology support services, access to the enterprise information systems, access to ancillary services on campus, or to administer academic or continuing education programs or activities;
9. disclosure of personal information to third parties for funding or audit purposes, such as award donors, government funding or granting agencies, for the purposes of complying with research security due diligence review and assessment, ensuring compliance with regulatory obligations relating to sanctions, export controls, and controlled goods, and for audit and verification purposes; 
10. use or disclosure of personal information to ensure the health, safety, and security of students, staff and other community members on campus, in accordance Alberta’s Occupational Health and Safety Code or U91̽»¨â€™s Harassment, Violence and Discrimination Policy, Sexual and Gender-Based Violence Policy and Student-At-Risk Policy;
11. disclosure of personal information as required by law or pursuant to a court order, summons, or subpoena, including to the Ministry of Advanced Education as may be required under the PSLA or other statute or regulation, to Statistics Canada as may be required under the Statistics Act (Canada) or regulations, or as may be required by a professional licensing and certification body and otherwise permitted under POPA; or
12. disclosure of community member personal information to external third-party survey agencies for the purpose of conducting surveys related to a U91̽»¨ operating program or activity, for the purpose of institutional analysis and evaluating the success or effectiveness of any U91̽»¨ program or activity, and for program development, quality assurance and quality improvement purposes. 

We recognize the sensitive nature of your personal information and are committed to the protection of your privacy. U91̽»¨ therefore commits to the following privacy and information security best practices with respect to your personal information:

1. U91̽»¨ will never sell your personal information and will make reasonable security arrangements against such risks as unauthorized access, collection, use, disclosure, or destruction in accordance with section 10 of POPA;
2. U91̽»¨ will limit access to your personal information to those faculty and staff members who reasonably require access to perform their specific job function on a need-to-know basis and in accordance with U91̽»¨â€™s Privacy Management Program and Information Security Classification Standard;
3. U91̽»¨ will grant you access to records containing your personal information in accordance with Alberta’s Access to Information Act, and will respond to requests for correction of your personal information in accordance with POPA;
4. U91̽»¨ will conduct a privacy impact assessment (PIA) for any new or substantial change to an administrative practice, program, project or service involving the collection, use or disclosure of personal information where required under POPA;
5. U91̽»¨ may input your personal information into automated systems to generate content to make decisions, recommendations, or predictions, such as an artificial intelligence, machine-learning or deep-learning system or technology (AI), provided that such use is consistent with POPA and in accordance with U91̽»¨â€™s Privacy Management Program  and Information Security Classification Standard;
6. U91̽»¨ may use your personal information for the purpose of data matching to integrate into existing institutional data or to produce data derived from personal information that will be used consistent with POPA for research and analysis or for planning, administering, delivering, managing, monitoring or evaluating a program or service;
7. U91̽»¨ may de-identify or anonymize your personal information in accordance with generally accepted best practices to create non-personal data that will be used consistent with POPA for research and analysis or for planning, administering, delivering, managing, monitoring or evaluating a program or service; and
8. U91̽»¨ will secure and retain your personal information and any de-identified or anonymized non-personal data until outdated, or required to be destroyed by law, whichever is earlier, and will retain all records in accordance with the U91̽»¨ (MaRRS), as applicable.
